Job Description

The Events Operations Assistant (EOA) will report to the Office Manager (OM). This individual will function as an asset in the opening, daily operation, and logistics for post-term, Commencement, and Reunion housing.  This position operates in the capacity of a receptionist greeting guests, covering the front desk, and courteously and efficiently aiding guests as necessary while in residence. This position will also work closely with a team of various YC&E temporary staff of Hospitality Coordinators, Operational Coordinators and other seasonal and full-time staff to facilitate the arrival and departure of guests. The EOA serves as a knowledgeable professional and is primary asset in the functioning and operation of a 24-hour office. Individuals will be asked to know and understand the workings of colleges and be proficient and adept at addressing daily issues. 

 

Principle Duties:  

 

Check guests in and out of the StarRez database by issuing and collecting room keys and access cards.  

Loading, setting up, and delivering materials including but not limited to pillows, linens, and blankets to various residential colleges and building as needed.  

 Maintain a log of all client and service provider interactions and document all incidents for follow-up.  

Oversee the inventory of keys for the residential spaces and ensure keys work properly.  

Assist in the organizing of participant information, room lists, key packet preparation, and any other necessities for residential groups.  

Complete various assigned tasks across campus in a timely manner.  

Organize the office(s) with necessary supplies, monitor inventory and replenish, as necessary. Ensure that all equipment is on site and in working order.  

Address guest concerns in a friendly and courteous manner.  

Follow up and help resolve open support tickets with YC&E staff and service providers. 

Ability to lift 30 pounds and sit or stand for extended periods of time.  

Perform other duties as assigned.  

 

Guest Relations 

 

Be the first point of contact with clients on campus and ensure client satisfaction. 

Have a full understanding of each program’s operation and daily logistical needs. 

Greet participants and handle all inquiries, providing exceptional customer service. 

Job Requirements

On Campus Employment Dates: Friday, May 9, 2025, to Monday June 2, 2025  

 

This position requires early morning, late-night, overnight and weekend hours for our 24-hour office. Overnight shifts are a requirement for the position. Schedule will vary each week. Weekend and holiday work is regularly required. Training for the position may be a combination of virtual and in-person sessions. Compensation $17.00/hour
